Making a formal complaint

You can download our complaint leaflet here >>

We work hard to provide quality services at all of our hospitals and are naturally disappointed when the care, treatment or facilities fall short of our patients' expectations. When this happens, we encourage people to let a member of staff closely involved with the care know. We often find that by talking things through straight away, problems can be resolved there and then. There is also our confidential Patient Advice & Liaison Service (PALS), set up to support patients, their families and visitors who need advice, have problems/concerns, or don't know where to turn for information. PALS is about learning from everyone involved with our hospitals in order to improve our services.

What if I am still not satisfied?
If the staff involved with your care or PALS haven't been able to resolve your concerns, the next step may be to make a formal complaint to the hospital. We take all complaints very seriously, look into each one individually and respond to you as quickly as possible.

The department follows the national complaints procedure for NHS Trusts. We will need your concerns in writing, and the department can support anyone who wants help with this. They can put you in touch with independent support services if you prefer that. You may also email the complaints department on: complaints@uhcw.nhs.uk or your letter can be sent to:

The Chief Executive
University Hospital
Clifford Bridge Road
Coventry CV2 2DX

Tel: 02476 96 4000

Try to make your complaint as soon as possible. This makes it easier for everyone involved to recall what happened and investigate. Give as much information as you can. Include your name and address, any names you remember of the staff caring for you, the ward or department and the dates of your stay. If you have a range of issues you would like answered, please number them. If you are complaining on behalf of a relative or friend, please understand that we will require their consent in order to release details surrounding their care.

The investigation process
Following safe receipt of your written comment or complaint, we will send you a letter of acknowledgement within two working days. We then ask a senior manager and the clinical staff responsible to look into your concerns. We will fully investigate the issues raised and will reply to you within 20 working days.

If you are dissatisfied with our response, please come back to the Trust as we want to do all we can to help to resolve the matter for you. The offer to contact the complaints staff will be detailed in our response letter and it is important that, where possible, contact is made within 7 working days.

We are here to help.
